Refund & Engagement Terms

PolarCurve LLC provides client SaaS build engagements and operates its own SaaS products. Because these involve different commercial arrangements, the terms below distinguish between custom client services, retainers and maintenance, and product subscriptions. Where a signed agreement, statement of work, or product checkout sets different terms, that document controls.
1. Custom SaaS build engagements
- Fees, deposits, milestones, and payment schedules are defined in the proposal, statement of work, or signed agreement.
- Deposits or upfront payments are generally non-refundable once work has started, because studio time is reserved and work begins immediately.
- Completed milestones are non-refundable.
- If a client cancels an engagement, the client is responsible for work performed, committed costs, and approved expenses through the cancellation date.
- Any refund exception must be stated in writing.
2. Retainers and maintenance
- Monthly retainers are billed in advance unless otherwise agreed.
- Unused retainer time does not automatically roll over unless the agreement says so.
- Either party may terminate according to the notice period in the agreement.
- Fees already paid for an active billing period are generally non-refundable unless required by law or agreed in writing.
3. SaaS product subscriptions
- Product subscriptions may be billed monthly, annually, or according to usage.
- You can cancel future renewals in-product before your renewal date, or by emailing hello@polarcurve.us with the charge date, amount, and product name. Cancellation stops future billing but does not refund the current paid period unless required by law.
- Approved refunds are returned to the original payment method, typically within 5–10 business days.
- Fees already paid are generally non-refundable unless the specific product terms, applicable law, or a written agreement states otherwise.
- If a product offers a free trial, the trial terms are stated clearly before billing begins.
4. Fulfillment, delivery & how you pay
- PolarCurve LLC provides digital services and software access only. No physical goods are sold or shipped.
- Custom SaaS build engagements begin after acceptance of a proposal or statement of work and any required initial payment; deliverables are provided electronically on the schedule set in the agreement.
- SaaS product subscriptions are delivered electronically through account access immediately after a successful payment and remain active for the paid billing period.
- Client engagements are invoiced and payable by card, ACH, or bank transfer as stated on the invoice; product subscriptions are paid through that product's checkout. Charges appear on statements as “PolarCurve” or the relevant product name.
5. Third-party costs
- Clients are responsible for third-party costs they approve, such as hosting, APIs, payment processors, email providers, analytics tools, domains, and software licenses.
- Third-party fees are subject to the third party's own refund policies.
